This policy explains what IDJoy collects through the website, why it is needed, who may process it and how you can access, correct or remove it.

1. Who is responsible for your information

IDJoy (Pty) Ltd is the responsible party for personal information collected through this website.

2. Information we collect

Invoice and quote generator

Invoice, quote, client, banking, service, company-logo and accreditation information stays inside your current browser tab. IDJoy does not receive or store that document information when you use the free generator.

Invoice app waitlist

When you join the waitlist, we collect the email address you submit, your waitlist consent, whether you separately opted into newsletters, the form source, consent version and submission time.

Newsletter, resource and unsubscribe requests

If you choose an optional newsletter or marketing permission, we use your email for the communications described beside that choice. A resource request that explicitly says it does not add you to a newsletter is used only to record and deliver that resource. An unsubscribe request includes the email address needed to identify and suppress future selected communications.

Other website forms

Project enquiry or contact forms may collect the details you choose to provide, such as your name, company, email, phone number and project information.

3. Website analytics

IDJoy asks before starting optional behavioural analytics on public website pages. If you accept, IDJoy may use a first-party analytics collector and Google Analytics to understand how visitors find and use the website.

The first-party dataset can record a random visitor identifier, a session identifier, page paths without query strings, landing page, referring host, campaign parameters, broad device and viewport category, browser language, country code, page engagement, scroll milestones and selected actions such as strategic CTA clicks or completed website workflows.

The analytics collector is designed not to store raw IP addresses, full referrer URLs, typed form contents, invoice details, banking details, uploaded logos or email addresses. Analytics visitor identifiers are not intentionally joined to project-enquiry, waitlist, newsletter or client records.

Google Analytics is separate from the invoice document builder. IDJoy does not intentionally send the invoice, quote, client, banking, service, company-logo or accreditation information entered into the generator to Google Analytics.

4. Why we use personal information

To manage the invoice app waitlist and tell you when account access is available.
To send newsletters or practical guides only when you selected the relevant permission.
To respond to project enquiries and provide requested services.
To deliver a resource you requested without treating that request as newsletter permission where the form says the two are separate.
To understand consented website traffic, content performance, acquisition sources and whether public pages and tools support useful customer actions.
To process unsubscribe, correction, deletion, objection or analytics-withdrawal requests.
To protect forms, accounts and services from abuse and maintain reliable records of consent.

We aim to collect information that is relevant to the stated purpose and avoid collecting more detail than the task requires.

7. How long we keep information

Raw first-party website analytics events are scheduled for deletion after 180 days. Analytics consent audit records are scheduled for deletion after 395 days. Aggregated reports may be kept longer where they no longer identify an analytics visitor or session.

Waitlist details are kept while the invoice app is being developed and for a reasonable period needed to manage invitations and related records, unless you ask us to delete them sooner.

Newsletter or marketing permission is kept until you withdraw it. We may retain a minimal unsubscribe or suppression record so that we do not add the address back to optional marketing communications by mistake.

Project records may be retained for service delivery, legal, accounting or dispute-resolution needs.

8. Your choices and rights

You may ask IDJoy to:

confirm whether we hold personal information about you;
provide access to information we hold;
correct information that is inaccurate or outdated;
delete information where we no longer have a lawful reason to keep it;
object to processing or withdraw consent; and
stop newsletters and other optional direct marketing.

We may need to verify your identity before giving access to or changing personal information. You may also lodge a complaint with South Africa’s Information Regulator.

9. Security and data minimisation

We use technical and organisational measures intended to protect information against loss, unauthorised access, misuse or disclosure.

The free invoice generator is intentionally browser-only for document data. Public analytics uses pseudonymous identifiers rather than email identities, and the private analytics dashboard uses the existing IDJoy administrator authentication controls.
